Convert Old XLS Data for an XLSX Workbook

A legacy spreadsheet may need a copy in the newer XLSX format for ongoing edits. The extension alone cannot update its structure. Compare figures, formulas and links with the source before relying on the new workbook.

Move data, not just an extension

XLS is an older binary workbook format; XLSX is an Open XML package. A useful converter must interpret cell values, types, number formats, formulas, worksheets, and workbook relationships. Renaming a file can fool a file picker but cannot make the structures compatible. Distinguish a number stored as text from a numeric value, especially for product codes with leading zeros. Dates deserve particular care because spreadsheet applications can display a formatted date while storing a serial number. A future output needs checks in a spreadsheet editor, not only a file-signature inspection.

Watch the less visible workbook parts

An XLS may include hidden sheets, named ranges, charts, conditional formatting, external links, validation lists, or macros. A standard XLSX cannot hold VBA macro code; macro-enabled content needs a different format and an explicit review. A converter that copies only visible cells would be insufficient for many business uses. Compare sheet names and order, formula results, totals, and unusual characters. If the source has external links, record whether the workbook depends on cached values before treating the new file as a complete handover.

Choose a realistic use case

A modern XLSX can be helpful for continued collaboration when the old workbook is simple and its important values can be checked. It is not an automatic audit of historical calculations. Preserve the original XLS and document any differences found during review. An XLSX filename alone does not establish that formulas, hidden sheets, charts, or leading-zero identifiers survived. Review the downloaded workbook before relying on it.

Questions people ask

An inventory workbook is a useful trial because it combines formulas, leading-zero identifiers, and summary totals. Inspect those classes separately in the XLSX. If cells look right but formulas now refer to broken external links, the migration is incomplete. If the source contains a hidden sheet or chart, inspect those elements separately rather than judging the XLSX only by a grid of plain numbers.

Frequently Asked Questions

Does XLSX guarantee all XLS features survive?

No. Check formulas, names, charts, macros, and formatting individually.

Can I rename the workbook?

No. A new file structure must be written.

What happens to leading zeros?

Codes stored as text should remain text; inspect output cells before use.

Will macros be copied?

Standard .xlsx is not a macro-enabled workbook; do not assume macro preservation.
